The Southern Sydney Regional Organisation of Councils (SSROC) is a small, efficient family-friendly organisation providing solutions to the challenges facing our twelve member Councils.   

 

SSROCs office is located at Work Club - Sydney Locomotive, a vibrant new destination in the heart of South Eveleigh. 

 

The role

We need an Executive Assistant to co-ordinate administrative functions, support our staff, prepare business papers and organise meetings. 

 

We are looking for a team player with strong administrative, computer literacy and troubleshooting skills and an ability to work with minimal supervision. The successful candidate will be diligent, persistent and efficient. 

 

Key duties will include but not be limited to:

  • Assist the CEO, management team, and SSROC staff as needed.
  • Provide administrative support for working groups, including meeting coordination and venue arrangements.
  • Maintain reminder system for staff deadlines.
  • Help manage working group membership records.
  • Format and distribute meeting materials.
  • Record and distribute meeting minutes.
  • Coordinate annual meeting dates in consultation with SSROC staff.
  • Update contact details for member councils.
  • Maintain electronic filing systems.
  • Assist with updating the SSROC website.
  • Support Office Manager with payments and payroll using MYOB.

Selection Criteria (must be addressed when applying for position)

  • Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, with Adobe Illustrator skills considered a plus.
  • Skilled in Microsoft Teams and Zoom, capable of organising and managing online meetings effectively.
  • Able to create business papers for meetings using MS Office, particularly for Ordinary and CEOs/GMs’ meetings.
  • Strong organisational and time management abilities, including tracking task progress and preparing draft agendas.
  • Experienced in maintaining efficient administrative systems and procedures.
  • Excellent interpersonal and communication skills for interactions at all levels.
  • Computer literate with proficiency in Microsoft Office suite, Adobe Acrobat, and interest in website administration (Word Press) and MYOB Accounting Right.
  • Familiarity with Mac systems is advantageous.
  • Knowledgeable in electronic records management and filing systems.

 

Salary and Benefits

Up to $93K pro rata + 11% Super. 30 hours per week, with some work from home (WFH) opportunities.
